This policy explains what personal data Agensphere collects through agensphere.com, why we collect it, who processes it for us, how long we keep it, and the rights you have. We have kept it short and specific: the site collects very little, and we say exactly what.
Who we are
Agensphere is an AI systems engineering business run by its founders, Guna Sundar D. and Pavan Birlangi. Agensphere is not yet incorporated; this policy will be updated with the registered entity name once it is.
- Address: Section 9, MVP Colony, Visakhapatnam, Andhra Pradesh 530017, India
- Email: hello@agensphere.com
For the personal data described here, Agensphere is the data fiduciary under India's Digital Personal Data Protection Act, 2023 (DPDP Act) and the controller under the EU and UK General Data Protection Regulation (GDPR), where those laws apply.
This policy covers agensphere.com and its pages, including the Journal and Services. Our KEEL demo at keel.agensphere.com is a static page hosted by GitHub Pages and has no forms; GitHub may process technical data such as IP addresses as described in its own privacy statement.
What we collect
When you send a system brief
The System Brief form on our homepage asks for:
- your email address, so we can reply;
- the stage of your system and where it breaks (choices you select);
- a description you write of the system or workflow;
- the page you sent it from and the time it was sent.
Please do not include sensitive personal data, or other people's personal data, in your description. Describe the system, not the individuals in it.
When you subscribe to Dispatch
The Dispatch form in our Journal asks only for your email address. We also record that you agreed to receive Journal entries by email, and when.
When you email us
If you write to hello@agensphere.com, we receive your email address and whatever you include in your message.
Technical data
Like every website, agensphere.com receives technical data when your browser loads it: your IP address, browser and device type, the pages requested and the time. This is processed by our hosting provider in server logs. Our forms also use your IP address briefly to limit repeated submissions; we do not store it ourselves.
Visit statistics
We use Umami, a cookieless analytics service, to count visits, the pages people read and a few actions (such as sending a brief or opening a service page). It does not set cookies and, according to Umami, does not store IP addresses or anything else that identifies you. We see totals, not individuals.
Where a lead came from
When you arrive, the site keeps your landing page, the site that sent you (if any) and any campaign tags in the link, for the length of your visit only. This is held in your browser's session storage, not a cookie, and is cleared when you close the tab. If you send a brief or subscribe, these details are sent with it so we know which page or channel brought you.
Cookies
We do not set cookies for analytics, advertising or tracking. See our Cookie Policy for details.
How we use it
| Purpose | Data used | Basis |
|---|---|---|
| Read and reply to your system brief, and decide whether we can help | Brief details, email address | Your consent when you send it; steps you ask us to take before a possible engagement (GDPR) |
| Send you a confirmation that we received your brief | Email address, stage, breaks | As above |
| Send you new Journal entries (Dispatch) | Email address, consent record | Your consent, which you can withdraw at any time |
| Keep the site working and secure, and stop spam | Technical data | Legitimate uses permitted by law; legitimate interests (GDPR) |
| Understand which pages and channels are useful, and where leads come from | Visit statistics; landing page, referrer and campaign tags sent with a form | Legitimate interests (GDPR); legitimate uses (DPDP Act) |
| Meet legal obligations | Any of the above, where required | Legal obligation |
We do not sell your personal data, we do not use it for advertising, and we do not use the content of your brief to train AI models.
Who processes it for us
We use a small number of service providers. Each processes data only to provide its service to us.
| Provider | What it does | Data involved |
|---|---|---|
| Vercel | Hosts the website and runs the form handlers | Technical data, form submissions in transit |
| HubSpot | Our contact and customer records; Dispatch emails | Brief details, email address, consent record |
| Resend | Sends the brief confirmation and our internal notification | Email address, brief details |
| Google Tag Manager (currently runs no tags) | IP address and browser data | |
| Umami | Counts visits and site actions without cookies | Anonymous usage data |
| GitHub | Hosts the KEEL demo page | Technical data |
We may also share personal data with professional advisers, with authorities when the law requires it, or with a successor if the business is reorganised or transferred, in which case this policy continues to apply.
International transfers
Some of these providers process data outside India, including in the United States and the European Union. Where the law requires it, we rely on the safeguards those providers offer, such as standard contractual clauses for transfers from the EU and UK. We will not transfer data to any country the Government of India restricts under the DPDP Act.
How long we keep it
- System briefs and related emails: for up to 24 months after our last exchange, unless they lead to an engagement, in which case we keep them for as long as the engagement and any legal requirements need.
- Dispatch: until you unsubscribe. We then keep a minimal record of your email address so we do not contact you again by mistake.
- Technical logs: for the short periods our hosting provider applies.
When we no longer need personal data, we delete it or make it anonymous.
Your rights
Depending on where you live, you can ask us to:
- tell you what personal data we hold about you and how we use it;
- correct or complete it;
- delete it;
- withdraw consent, for example by unsubscribing from Dispatch using the link in any email;
- under the DPDP Act, nominate another person to exercise your rights if you die or become incapable of doing so;
- under the GDPR, give you a copy in a portable format, restrict or object to how we use it.
To use any of these rights, email hello@agensphere.com. We may need to confirm your identity first. We will respond within the time the applicable law requires, and in any case as quickly as we reasonably can.
If you are not satisfied with our response, you can complain to the Data Protection Board of India, or, in the EU or UK, to your local data protection authority.
Security
We use providers with established security practices, limit who can access personal data, transmit data over encrypted connections, and filter automated submissions. No system is perfectly secure; if a breach affects your personal data, we will notify you and the authorities as the law requires.
Children
agensphere.com is meant for businesses and professionals. It is not directed at anyone under 18, and we do not knowingly collect personal data from children. If you believe a child has sent us personal data, contact us and we will delete it.
Changes to this policy
We will update this policy when what we collect or how we use it changes, and change the date at the top. If a change is significant, we will say so on the site, and tell Dispatch subscribers by email.
